What this session covers

Stephen Oliver and Grand Master Jeff Smith argue that retention is not mainly about more curriculum, events or “cool stuff.” It comes from better relationships, tracking, recognition, personal follow-up, engagement and goal-setting from the start. Stephen says many schools run attrition of 7% to 12% per month, while a strong school should aim for about 1% to 2%.

On the math, he says cutting dropout from 4% to 2% can have a similar effect to sharply raising enrollments, and that a 300-student school with 2% attrition needs only 6 new students a month to stay even. They cover net enrollment, attendance cards and ID cards, and immediate missed-class follow-up.

They also discuss staff knowing student and parent names, goals and family details, handwritten cards, notes and small gifts, and why automated birthday emails and generic CRM messages are not enough. White belts need the most attention in the first months, social connections reduce dropout, and parents should be connected to the school.

Key points

  • Aim for roughly 1% to 2% monthly attrition.

  • Follow up on missed classes immediately.

  • Give white belts the most attention early.
  • Personal touches beat automated messages.
