How to Find Every Local Event Near Your School in 30 Minutes With AI

One owner who said there was “really not much going on” in his area found 75 events in a single sitting, 55 of which he had never heard of. The search that used to take weeks of driving and phone calls now takes about 30 minutes, if you ask the right way and make the tools check each other’s work.

How do you find every community event near your martial arts school? Ask several AI assistants the same detailed question, defining your territory by distance and direction, the kinds of host organizations, and the contact details you need. Then have one assistant cross-check the others for cancelled events and closed organizations. Done properly, the job takes about 30 minutes and produces a list with dates, coordinators, phone numbers and emails. It does not replace driving your neighborhood, but it finds most of what is publicly posted.
Why do live events matter so much in October through December?
From harvest festivals to Halloween to the holiday shopping season, this is the most target-rich stretch of the year for booth marketing. Elementary schools hold fall carnivals, high schools run trick-or-treat nights for younger kids, malls host safe trick-or-treating, parks run movie nights, churches run trunk-or-treats. A recent search for one Colorado school turned up roughly 40 possible October events. One member school found about 45 events to choose from between early October and January 1.
The constraint is rarely a shortage of events. It is that owners only know about the handful they drive past.
How should you define your territory?
Do not just give a ZIP code and a radius. Describe the territory the way you would to a new staff member, including where the demographics change. For a school north of a city, that might read: “Go 15 to 20 miles north, 10 to 15 miles east, and only a mile or two south of the interstate,” because family incomes drop sharply heading south into the city. The more precisely you describe where your families actually come from, the less junk comes back.
What should the prompt ask for?
Name the host types and the output you want. A working version:
“Within [territory], find live events in the next 90 days that are aimed at kids and families and are hosted by parks and recreation departments, recreation centers, churches, elementary, middle and high schools, city and county governments, libraries and shopping centers. Include festivals, farmers markets, movie nights in the park, fall carnivals and holiday events. For each, give the event name, date and time, location, the coordinator’s name, phone number, email and mailing address, and whether vendor or community booths are allowed. Note anything you could not verify.”
Run it a few times and refine it. The assistants pick up what you mean quickly. You can also paste in a written procedure and ask the assistant to follow it for your own area.
Why use more than one AI assistant?
Using four is overkill, and that is the point. Each draws on slightly different sources. All of them search the open web, but Grok has direct access to posts on X, and ChatGPT draws on Reddit content through OpenAI’s data partnership. Run the same prompt through two or three of them, then hand the combined lists to another and ask it to merge duplicates and check each entry.
The cross-check is where the value is. On one recent run, the checking assistant flagged a church that had long since closed, an event that had been cancelled and another being rescheduled. Without that pass you would be calling dead numbers and showing up at empty parking lots.
Can the same method build a school contact list?
Yes. Ask for every public, private, parochial, charter and Montessori school in the territory, with the principal, the PE teacher and the PTO or PTA president. Expect gaps: many schools do not publish PTO contacts. Even so, the result is a working contact sheet that would have taken about a month and a half to assemble in the 1990s and several days with early search engines. Now it takes half an hour.
Does this replace driving the neighborhood?
No. The old habit still finds things the tools miss: drive a different route to the school every day, stop at the elementary schools and community centers, read the bulletin board at the coffee shop and the grocery store, look for banners at the parks, and get on the newsletter lists for local churches and the community center. The AI search finds what is posted online, including Eventbrite listings and city calendars. The drive finds the rest.
How do you staff more events than you can attend?
You do not run between booths yourself. Build a crew from your Leadership students and volunteer parents. Booth scripts are simple enough to teach in two sessions of 30 to 45 minutes. Schools that do this can run three or six events on the same weekend, which matters most on days when events stack up, such as elementary school back-to-school nights.
Before the season starts, set target ratios for appointments, first lessons and enrollments so you can judge each event on results, not on how busy the booth felt.
